Epicor Eclipse Video Tip: Setting Up a Basic Sales Order Entry in Eclipse

It may seem like it should be second nature to enter sales orders into Solar Eclipse, but there’s a lot of functionality throughout the process of which many Eclipse users are unaware. 

In this video, Zerion founder and consultant Tony King walks viewers through the process of setting up a basic sales order entry in Eclipse, providing the necessary details and options in the Body, the Header, the Status, and the Totals screens. 

On the Body screen:
  • Users can enter order quantities and items on this screen.
  • Users can also elect to override the sale price and cost on this screen, and can even put in margins. 

On the Header screen:
  • On this screen, users can enter customer purchase order numbers and / or release numbers.
  • Users can also give more details in the “Ordered By” field.
  • The header screen also includes a place to enter shipping instructions, which will appear on all printed documents (as well as emails and faxes). These instructions will be shown to the customer.
  • Remember, on the right-hand size of this screen, there is an ‘internal notes’ field that can include notes that will NOT be shown to the customer.

On the Totals screen:
  • Although this functionality is fairly straightforward, it is good to note that it’s not set up in the standard flow for a typical sales order.
  • This screen allows the user options to enter totals, cash, check, sales tax, and freight.

On the Status screen:
  • This screen can be described as the place where users will tell the system what to do with the order entries by declaring a status, and it’s also where the warehouse staff are clued into how to manage the order entries by the information entered into the Ship Via field.
  • The status will change from ‘open status’ to ‘invoice generation’ on this screen.
  • Also, there is an order summary panel on the left hand side of the order entry screen, where users can see all generations listed. This is a very important tool when users are trying to ensure that all generations of a particular order are the same.
  • This can also include PO numbers, release numbers, and order-by fields, which can be selected to copy to all shipments. 

It’s also important to note that when entering in sales order in Solar Eclipse, users can right-click on each of the items and go to the appropriate inventory inquiries (such as history ledger and future ledger). Users can do this for each item on the sales order entry screen. On each screen, under the User Tools function, users can customize the toolbars to best work for their needs.

With even a basic sales order, it’s easy to see that there is a lot of functionality within Solar Eclipse. It is definitely worthwhile to spend time playing around with all of the different functions to make shipping labels that will streamline your business.
